 Job Summary:

This position provides comprehensive support for the clinical education operations of the Master of Science in Physician Assistant (MSPA) program, performing a range of complex and varied administrative tasks to ensure efficient program coordination. The Clinical Administrative Specialist independently plan and perform research to participate in the development and coordination of clinical sites, student placements, and supporting accreditation activities. The Clinical Administrative Specialist must possess strong organizational skills; excellent written and oral communication; and a keen attention to detail. This full-time position will report directly to the Director of Clinical Education and work collaboratively with MSPA program faculty, staff, and students.

About the Program:

California State University, San Bernardino (CSUSB) is developing a Master of Science in Physician Assistant (MSPA) program to help meet the current and future healthcare needs of the region and state. The MSPA program is projected to start in Fall 2025 pending successful accreditation. To date, CSUSB has received over $18 million in funding to support the development of this exciting new program and its facilities. The program will make a lasting impact on increasing access to quality care through an innovative curriculum, involvement in the community, and strategic healthcare partnerships. Accreditation Status:

California State University – San Bernardino has applied for Accreditation - Provisional from the Accreditation Review Commission on Education for the Physician Assistant (ARC-PA). California State University – San Bernardino anticipates matriculating its first class in August 2025, pending achieving Accreditation - Provisional status at the March 2025 ARC-PA meeting.
Accreditation - Provisional is an accreditation status granted when the plans and resource allocation, if fully implemented as planned, of a proposed program that has not yet enrolled students appear to demonstrate the program’s ability to meet the ARC-PA Standards or when a program holding accreditation-provisional status appears to demonstrate continued progress in complying with the Standards as it prepares for the graduation of the first class (cohort) of students. In the event the program does not earn accreditation-provisional status, students will not matriculate, and admissions deposits will be refunded. The California State University – San Bernardino is fully accredited by the WASC Senior College and University Commission (WSCUC).

The MSPA degree has been fully approved by the CSU Board of Trustees and Chancellor’s Office.

Duties and responsibilities

Clinical Site Coordination and Support

  • Strategically plan, establish, and evaluate clinical sites to ensure adequate availability of clinical slots across disciplines.
  • In collaboration with the Director of Clinical Education, facilitate clinical experiences consistent with program/course learning outcomes.
  • Exercise considerable judgment and discretion in reviewing and analyzing new clinical affiliation agreements.
  • Compile all required supporting documentation, certifications, and eligibility requirements for current and potential clinical sites and preceptors.
  • Initiate and track clinical site expenditure activity, invoices, and purchase requisitions to ensure compliance with contractual, regulatory, and funding terms and conditions.
  • Administer clinical site affiliation agreements to ensure they remain current, including proactively initiating the renewal process, as needed.
  • Maintain a current and accurate list of the approved preceptors by clinical specialty, ensuring all records are up to date.
  • Assist in the tracking and timely collection of student and preceptor evaluations in compliance with programmatic and accreditation-related requirements and academic confidentiality policies and regulations.
  • Monitor preceptor board certifications and licenses on an ongoing basis, ensuring renewal before expiration to maintain compliance with program standards.
  • Assist in the ongoing evaluation of clinical sites and preceptors.
  • Support the development of clinical phase policies and procedures, utilizing ingenuity to make recommendations that improve efficiency and efficacy of the clinical phase curriculum.
  • Communicate effectively via email, phone, and/or in person with the MSPA faculty and staff and clinical site contacts in hospitals and clinics to develop and maintain clinical placements (travel may be required).
  • Communicate effectively via email, phone, and/or in person with MSPA students regarding clinical site placements, missing requirements, and other program related matters (travel may be required).

Coordination and Scheduling

  • Collaborate with the Director of Clinical Education to evaluate and determine the number and type of clinical placements needed for each clinical phase.
  • Serve as a representative with clinical sites and preceptors, maintaining clear communication to coordinate student placements and on-boarding.
  • Schedule and notify students and clinical sites/preceptors in a timely manner regarding clinical phase placements and on-boarding requirements.
  • In collaboration with the Director of Clinical Education, address student clinical placement issues as appropriate.
  • Monitor pre-matriculation and clinical phase immunization, health screening, and background check requirements in accordance with program guidelines.
  • Utilize the MSPA Program clinical tracking and placement software.

Accreditation Support

  • Support ongoing accreditation activities by preparing and organizing accreditation documents and other related reports.
  • Support the comprehensive assessment of the clinical phase, including data collection and thoughtful analysis.

Other

  • Complete required training for handling programmatic and clinical phase software and databases.
  • Work collaboratively with academic programs at CSUSB and partner institutions.
  • Serve as an active member in clinical phase meetings, program meetings, and other MSPA meetings, as appropriate.
  • Perform other classification related duties as assigned by the Director of Clinical Education, Program Director, or designee.

Minimum Qualifications:

  • Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Minimum of two years of related experience.

Required Qualifications:

  • Working knowledge of and ability to apply standard theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations.
  • Thorough knowledge of policies, procedures, and outside regulations pertaining to the applicable program and/or administrative specialty.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.
  • Skill in the research, development and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.

Preferred Qualifications:

  • One or more years of experience as a clinical coordinator in a physician assistant program, similar healthcare training program, or clinical facility.
  • Experience with clinical education management software (e.g., Exxat, CORE, Typhon).
  • Prior experience working within a diverse campus community.
  • Excellent communication and interpersonal skills (including being a good listener) to interact and communicate effectively with faculty, staff, students, and external constituencies, both verbally and in writing.
  • Ability to work effectively, proactively, and autonomously.

Compensation and Benefits:

Anticipated Hiring Range: $5,000 - $5,417 per month

Classification Salary Range: $4,598 - $8,318 per month
